So what can you do to make the presentation of your tenders live up to the content you’ve so carefully prepared?

A. Get more from the time available

Your tender will have to be submitted at a fixed time, and you will probably be working on the details of it until the last minute – but you can still make maximum use of the time that is available.

  • Right at the start, plan how you will present the tender, and while the detail is being finalised, make sure someone is preparing that presentation
  • Use a format that lets details be added or amended at the last minute:
    • Folders
    • Wiro bound documents
    • Ring binders
    • PDFs on CD
  • Settle on a design for your tender – this can be being produced while you are preparing the detail and will help you structure the final documents.
  • Produce a template for your Word documents. This will make sure all your documents look professional - and save your team time.
  • Get someone proof-reading your documents – even if 20% of it changes – you can at least be sure the other 80% is right.

B. Prepare for next time

If you think you don’t have time for your team to do anything with your current tender – check with your designers to see if there is anything they can achieve in the timescale.

Even if they can’t help, you can start preparing for the next tender.

  • Look for the common elements from this tender that can be used again for the next one and then make sure they’re right.
  • Plan now how you want your presentation to look – not when you’re up against it when the next tender comes in.

You produce all the contents of your tender, and we create the folders, dividers, title pages, contents pages, CDs – even a presentation box that the tender will be contained in – all the ‘dressing’ to give your tender a professional appearance.

Option 2 – low cost

We create a Microsoft Word template you can use to produce all the content of the tender. This enables you to simply select from pre-determined style sheets to apply Heading, Chapter Heading, Title etc to the content of your tender. So even if several different people are independently working on different documents, they will all have a consistent style. Combined with Option 1 this can give a highly professional look to your tender.

Option 3 – higher cost but less required from you

You hand over the written tender to us and we produce the whole thing for you a section at a time, making sure the whole thing looks professional – and leaving you free to spend the time you would have used ‘tidying up your presentation’ to make sure the content is exactly right.

Option 4 – any of the above PLUS additional support in writing your tender

We can’t tell you what to say in your tender, but if you need support writing it we can take your document and use our network of copywriters to check the way it is written and the language used to make sure it is easy to read, and grammatically correct.
